Privacy Policy

We take your privacy seriously. Here's the straight talk on how we handle your info.

GDPR Compliant Last Updated: November 6, 2025

Look, we get it - nobody actually likes reading privacy policies. But since you're here, we'll keep it real with you.

At Emberion Vortex Auto Repair, we've been working on high-performance engines and turbo systems since day one. We know precision matters, and that applies to how we handle your personal info too. This policy lays out what data we collect when you visit our shop or website, why we need it, and what we do with it.

We're based in Vancouver, BC, Canada, so we follow Canadian privacy laws (PIPEDA) plus GDPR standards 'cause we respect everyone's privacy rights. Bottom line? We only collect what we actually need to serve you better, and we don't sell your info to anyone. Period.

Personal Details

When you book an appointment or bring your ride in, we'll ask for basics like your name, phone number, email, and address. We need this stuff to contact you about your vehicle, send appointment reminders, and mail invoices. Pretty standard shop stuff.

Vehicle Information

We log details about your car or truck - make, model, year, VIN, mileage, service history. This helps us track what work we've done and what your vehicle might need next. If you've got a built motor or custom turbo setup, we'll document that too so we don't mess anything up.

Payment Info

When you pay for services, we process credit card or debit transactions. We don't actually store your full card numbers on our systems - that's handled by our payment processor who's got proper PCI compliance and all that security stuff.

Website Activity

If you're browsing our site, we collect some technical data like your IP address, browser type, pages you visit, and how long you hang around. This helps us figure out what's working and what's not on the website.

We're not out here collecting data just for kicks. Here's what we actually do with it:

  • Service Delivery: Schedule your appointments, work on your vehicle, keep service records, and follow up on any warranty stuff.
  • Communication: Send you appointment confirmations, service updates, and let you know when your ride's ready for pickup. Sometimes we'll shoot you maintenance reminders if your vehicle's due for something.
  • Payment Processing: Handle transactions and send invoices. Gotta get paid somehow, right?
  • Legal Stuff: Keep records for warranty claims, insurance purposes, or if there's ever any dispute about work we did.
  • Improving Our Services: Analyze what services you guys actually want, optimize our scheduling, and figure out what performance parts we should stock more of.
  • Marketing (with permission): If you've opted in, we might send occasional emails about promotions, new services, or performance tips. You can unsubscribe anytime - no hard feelings.

We don't sell your personal info. Full stop. But there are a few situations where we might share it:

Service Providers

Sometimes we work with other companies to run our business - like payment processors, parts suppliers, or the company that hosts our website. They only get access to what they need to do their job, and they're contractually required to keep your info secure.

Parts Manufacturers

If you've got warranty work or we need to verify compatibility for performance parts, we might share your vehicle info with manufacturers. They don't get your personal contact details though.

Legal Requirements

If we're legally required to hand over information (like if there's a court order or government investigation), we'll comply with the law. We'd also share info if necessary to protect someone's safety or our legal rights.

Business Transfers

If we ever sell the business or merge with another shop (not planning on it, but you never know), your info would transfer to the new owners so they can continue servicing your vehicle.

Yeah, we use cookies on our website. Not the edible kind - these are little files that help the site remember you and work properly.

Essential Cookies

These keep the website functioning. Things like remembering what's in your quote request form or keeping you logged into our customer portal. Can't really run the site without these.

Analytics Cookies

We use these to see how people use the site - which pages get visited most, where people are clicking, that kind of thing. Helps us make the site less annoying to use. This data's anonymized, so we're not tracking you personally.

Marketing Cookies

If you've agreed to marketing, these help us show you relevant ads or content. You can opt out of these anytime through your browser settings.

Most browsers let you control cookies through their settings. Just know that blocking all cookies might make parts of the site not work right.

You've got rights when it comes to your personal data. Here's what you can do:

Access Your Data

Request a copy of all the personal info we have about you. We'll send it over in a readable format.

Correct Information

If we've got something wrong, let us know and we'll fix it.

Delete Your Data

Ask us to delete your personal info (with some exceptions for legal/warranty records we need to keep).

Opt-Out of Marketing

Unsubscribe from promotional emails anytime. There's a link at the bottom of every marketing email we send.

Data Portability

Get your data in a format you can take to another shop if you want.

Restrict Processing

Ask us to limit how we use your data in certain situations.

To exercise any of these rights, just shoot us an email at service@emberionvortex.info or give us a call at (604) 555-8947. We'll get back to you within 30 days.

We take security pretty seriously. Here's what we do to keep your info safe:

  • Encrypted Storage: Your data's stored with encryption, so it's not just sitting there in plain text.
  • Secure Connections: Our website uses SSL/TLS encryption - that's the little padlock you see in your browser.
  • Limited Access: Only staff who actually need access to your info can see it. We're not passing it around the shop.
  • Regular Backups: We back up data regularly so nothing gets lost if something goes wrong.
  • Updated Systems: We keep our software and systems updated with the latest security patches.

That said, no system's 100% bulletproof. We do our best, but if you ever suspect something's off with your account or info, let us know right away.

We don't keep your info forever. Here's our general approach:

  • Active Customer Records: As long as you're bringing your vehicle to us, we'll keep your records active and up to date.
  • Service History: We typically keep detailed service records for 7 years. This is partly for warranty purposes and partly 'cause Canadian tax law requires us to keep business records for that long.
  • Inactive Customers: If we haven't seen you in a few years and you're not responding to our check-ins, we'll eventually archive or delete your contact info (but might keep anonymized service data for our records).
  • Marketing Lists: If you unsubscribe from marketing emails, we'll remove you from that list but keep a record that you opted out so we don't accidentally add you back.
  • Website Analytics: Usually kept for 2 years or less, and it's anonymized anyway.

If you want us to delete your data sooner, just ask. We'll do it unless we've got a legal reason to hang onto it.

If you've got questions about this privacy policy or how we handle your data, don't hesitate to reach out. We're here to help.
